Events Coordinator

We are looking to recruit a confident individual with a passion for managing events and working with local welsh businesses. This role entails assisting the Events & Marketing Manager to build The Welsh Farmers Market at Aber Falls Distillery this summer.

We are looking to recruit a confident individual with a passion for managing events and working with local welsh businesses.  This role entails assisting the Events & Marketing Manager to build The Welsh Farmers Market at Aber Falls Distillery this summer.  The Events Coordinator will attend all weekend internal Farmers markets until established and occasionally other internal and external events throughout the year at Aber, leading and managing a team of events team leaders and staff. 

Event Coordinator Job Duties

  • Creating event proposals for Events & Marketing Manager which fit client requirements and presenting proposals by deadline.  
  • Manage event space, stand costs and any supplier demands that could occur at the markets.
  • Maintaining a working relationship with local welsh businesses when attending Aber welsh farmers market.
  • Planning event aspects, such as stand quantities, seating, dining (coordinating with Sous chef.
  • Delegating event planning tasks to the event staff members where necessary.
  • Demonstrating to the suppliers a strong knowledge of all venues on site including the Famers Market, Visitor Centre and Distillery. 
  • Liaising with the Events & Marketing manager coordinating any maketing aspects including press releases, social media budgets or website updates.  Also event entertainment, including music, performers, and guest speakers. 
  • Manage all financial aspects incoming from supplier.  Full SAP training will be required for processing transactions.
  • Issuing invoices and collecting payments in a timely manner, and creating comprehensive and readable financial reports.
  • Managing and overseeing events on the day of, including problem-solving, welcoming guests & suppliers, directing event set-up, communicating with staff, and organising vendors.
  • Communicating with Events & Marketing Manager to create effective advertisements for each event, and when necessary crafting marketing materials such as print and Internet advertisements for events.
  • Anticipating and planning for different scenarios i.e Weather
  • Creating sales opportunities for future events during client liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities.
  • Keep an organised timeline of events a year in advance.
  • Assist the Events & Marketing manager with any other internal events involving the Visitor Centre, farmers markets and festivals.

Events Team Leader

Events are back, this year we are looking to recruit two individuals with a passion for managing events. Working under the Events & Marketing Manager, as a team leader this role will involve attending external and internal events throughout the year, leading and managing your own team of staff for Aber.

Working with event attendees and all members of the public, we want our team leaders to develop an engaging team underneath them that will enhance the customer experience, remembering our brand, their experience and creating a long lasting relationship. 

Events Team Leader responsibilities:

  • Creating event proposals for Events & Marketing Manager which fit client requirements and presenting proposals by deadline.  
  • Coordinate the staff in the most efficient way, delegating roles for the duration of the event.
  • Oversee the unloading of equipment and stock from Aber vehicles, setting up venues for events, including chairs, tables, marquees and building stages when necessary and ensure this is done accordingly.
  • Obtain the responsibility of ensuring all staff and customers adhere to any health & safety regulations.
  • Operating tills, cash registers and iZettles.
  • Provide a full report at the end of the event completing a stock count, card and cash intakes, feedback and event evaluation form.
  • Working under the instructions of the Events Manager you must be confident in guiding a team throughout the event in question.   
  • Ensuring every team member using the events equipment is well kept and cleaned after ever event.  Carry out monthly checks that all equipment is put away in the events storage shed/container is well organised.
  • Ensure all staffs are adhering to event safety standards.
  • Attend monthly meetings with the Events Manager all year round.  Carry out weekly check in calls/meetings unless at an event.
  • Act as a mentor the team always positively selling the brand with passion and enthusiasm.  Organise team training days should you feel they need to know more about the brand.
  • Be the acting manager at events.  Respond to the Event organiser at any external events when necessary.
  • Bring forward new ideas to the Events Manager should you feel any new equipment or POS would work well at certain events.
  • To have confident knowledge about the Aber Falls brand, the history, story and the production and distillation of spirits at the distillery.
  • Always consider social content when at an event and the Events & Marketing Manager is not present.  Ensure to transfer any images taken included in feedback form.
  • Confidently communicate any issues with the Events manager at an event or outside.

Events Staff

We are looking for highly organised candidates with excellent interpersonal skills for a position in our Aber Falls Distillery Events Team. Our Events Staff will be responsible for working under the instructions of our Events Manager. Events staff will be required to travel through the United Kingdom attending festivals, markets and trade shows. Staff will need to be available to work weekends when required.

Event Staff need to be constantly being on their feet and attend to the many needs of event-goers, requiring physical stamina and high energy levels.

Event Staff Responsibilities:

  • Always refer to the inventory list when collecting equipment prior to an event. Check for damage post event and put all equipment back in order correctly.

Tour Guide

If you’ve got passion, enthusiasm and confidence, join our team of Tour Guides and become the face of our distillery to visitors from near and further afield. We’ll give you the training and support you need to give them an experience that they won’t forget here in North Wales.

As a tour guide with Aber Falls, your job will involve introducing tourists to our unique visitor centre, taking them on a tour of the distillery and familiarising them with our Whisky and Gin production.

Your primary responsibilities will include planning and organising tours around a certain area of interest. You will play the role of a cultural ambassador, offering commentary and interesting titbits of information, which will allow visitors to fully experience and enjoy the tours and visitor centre alike.

Tour guide duties:

  • Welcome groups/parties at their starting point and announce details of arrangements
  • Taking reservations and tour bookings
  • Assist with check-in
  • Advise about facilities, such as sights, other attractions, restaurants and shops in the area
  • Use professional knowledge to answer questions from customers and to fulfil their expectations of the tour
  • Ensure that the tour is running smoothly for individual members of the group
  • Respond to questions and offer help with any problems that arise
  • Assist in the shop and help customers with their purchases
